Our policies
Privacy Policy
We take privacy very seriously at Diamondkingdom.co.uk – we would never want to spam our clients or ruin any surprises. We therefore are committed to protecting the private information you supply us with. In the course of its business, Diamondkingdom.co.uk needs to gather and use certain information about individuals. This will include clients, suppliers and other business contacts, and employees and prospective employees, as well as other people that we have a relationship with, may need to contact, or with whom we need to deal.
This policy describes how this personal data is collected, processed, transferred, handled and stored in order to meet the requirements of data protection law, in particular the General Data Protection Regulation (GDPR). We recognize that, not only must we comply with the principles of fair processing of personal data, we must also be able to demonstrate that we have done so. The procedures and principles set out below must be followed at all times by the Firm, its employees and all those within its scope as set out below.
Why this policy exists
This Policy provides help and guidance to our staff and managers in:
- complying with data protection law and following good practice

Scope of the policy
The Policy applies to all employees and contractors who are provided with access to any of our files and/or computer systems. Collectively these individuals are hereafter referred to as ‘users’. All users have responsibility for complying with the terms of this Policy.
Data protection law – GDPR

What does the law say?

- details of the categories of personal data collected, held by QS and the categories of data subject to which the data relates
- details of the retention policy
- detailed descriptions of all technical and organisational measures taken by QS to ensure the security of personal data.
Privacy by design – data impact assessments
Part of our duty is to ensure that in the planning of new processes or procedures which involve the use of personal data, we consider the impact of the changes and ensure that we have fully considered and complied with our obligations under the GDPR. We will always ensure that all such changes are designed and implemented in accordance with the Regulation, and that the DPO is consulted and their recommendations are taken into account in the planning and introduction of such changes.
In any situation where new technologies are being deployed and the processing of the personal data is likely to result in a high risk to the data subjects’ rights and freedoms under the Regulation, we will carry out a Data Impact Assessment, overseen by the DPO. This will deal with:
- the type(s) of personal data that will be collected, held and processed
- the purpose for which it is to be used
- the Firm’s objectives in processing this data and making this innovation
- how the personal data is to be used
- internal and external parties to be consulted
- why we need the data and how the collection of the data is proportionate to our need for it
- what risks there are for data subjects
- what risks the Firm runs, and
- what measures we are proposing to minimise and protect against the risks.
Providing information to data subjects
We are required to ensure that, when we collect and process personal data, the data subject is aware of the purposes for which this is being done, and what is happening to the data. We therefore will ensure that the following principles are followed:
- Where we collect personal data directly from the data subject, we will inform them of the purpose for which it is being collected if requested
- All data subjects will be provided with the following information:
- details of QS including the name of the DPO
- why the data is being collected and processed, and the legal basis for this
- details of data retention if requested
- details of the data subject’s rights
- under GDPR
- to withdraw consent to processing at any time
- to complain to the Information Commissioner’s Office (ICO)
- details of any legal or contractual requirement which means that QS needs to collect this information and process it
- details of any automated decision making or profiling that will take place using personal data, how the decisions will be made and their consequences
Data subject access
‘Subject Access Requests’ (SARs), can be made by data subjects where an organisation holds personal data about them. This can be done at any time, and the requests are made in order for the data subject to find out what data is being held, and what is being done with it
- such requests need to be made by the data subject in writing
- they should be addressed to the DPO, who will deal with the request
- QS will usually respond to them within one month, but we may need to extend it for a period of up to a further two months if it is a complex request or there are multiple requests. In that situation, the data subject(s) will be informed.
- QS will not charge the data subject any fee for responding to the SAR, unless the subject is asking for multiple copies of data already supplied or unless the request is manifestly unfounded or excessive.
Rectification of personal data
Where a data subject informs us that data we are holding about them is inaccurate or incomplete and requests that it is corrected, we will rectify the information and inform the data subject that we have done so, within one month of the request. Again, in complex cases, we may extend that period by up to two months.
Where the incorrect data is held by third parties to whom it has been disclosed, we will ensure that they are informed and that the data that they hold is rectified.
Erasure of personal data
Data subjects have a right to require the Firm to erase personal data held about them when:
- the Firm no longer needs the data it is holding for the purposes for which it was originally collected
- the data subject wishes to withdraw their consent to the Firm holding and processing the data
- the data subject objects to the Firm holding and processing the data, and there is no overriding legitimate interest which allows us to continue to do so
- the personal data has been processed unlawfully
- the personal data needs to be erased in order for the Firm to comply with a particular legal obligation.
Where we are obliged to do so, we will erase the information and inform the data subject that we have done so, within one month of the request. Again, in complex cases, we may extend that period by up to two months, and again where the data is held by third parties to whom it has been disclosed, we will ensure that they are informed and that the data that they hold is erased.
Restriction of personal data processing
Data Subjects have a right to request that the Firm ceases to process any personal data that we are holding about them. If that takes place, we will only retain whatever personal data we need to ensure that no further processing takes place
Objections to personal data processing
Data subjects have a right to object to us processing their personal data based on our legitimate interests or for direct marketing purposes. Where the data subject notifies us of their objection, we will cease such processing immediately unless our legitimate interests override those of the data subject, or unless we need to continue to process the data in conducting a legal claim. Where the data subject is objecting to direct marketing, we will cease to use the data for this purpose immediately.

Lifetime Manufacturer’s Warranty
Should you have any concerns about your jewelry, we advise you to bring the piece in store or return to us via post for inspection by our production team. You should arrange an appointment to do so by emailing info@diamondkingdom.co.uk, or calling us on 02071014470. If your item is deemed to have a manufacturing defect, we will repair or replace the item accordingly.
If damage is not deemed to be a manufacturing fault, we will advise you on our repair’s services.
You should be aware when buying diamond or gemstone jewelry that the naturally occurring (and lab-grown) stones can contain inclusions, irregularities in color, size and shape and other individual characteristics. Our gemmologists will discuss this with you during your consultation in more detail, and will usually alert you to such characteristics. We pride ourselves on our transparency, and our trained gemmologists will always inform you of the exact characteristics and quality of the diamond you are purchasing, in accordance with its GIA or IGI certificate. Such characteristics will not be deemed a defect.
As purveyors of handcrafted jewelry, each item may have minor inconsistencies and irregularities to another. Variation in craftsmanship is not deemed a defect.
Jewlery will be subject to wear due to normal, day-to-day activities and trauma. We do not provide a warranty to repair, replace or refund in the event of normal wear or loss of stones. If your stone appears to be loose, please bring your jewelry in for inspection.
Our warranty does not cover theft or loss, and we therefore strongly advise that you select an appropriate insurance plan to cover your item. See our insurance advice.

As well as the aforementioned conditions, please be aware of the following conditions.
- Diamondkingdom.co.uk’s Manufacturer’s Warranty is only available to the owner of the item, and for Diamondkingdom.co.uk-made items
- Any alterations made by jewelers other than Diamondkingdom.co.uk will void your warranty
- You must have your jewelry serviced by Diamondkingdom.co.uk no less than once every year. Frequent inspections will likely prevent serious problems from occurring in the future
- We recommend you arrange an inspection following any trauma to the jewelry, as soon as possible. The necessary repair may not be covered by the warranty, but we will advise on the best course of action
- Our aftercare includes free deep cleaning and full checkover services for your item. We recommend you do this once a year to prevent problems
- Defects that occur when the item is in your care are not covered. Please note that discoloration can occur when exposed to certain chemicals, claws can get caught and bent out of shape and stones can fall out when prongs are loosened, among other day-to-day issues. You should make yourself aware of how-to best care for your jewelry, or contact us on info@Diamondkingdom.co.uk for advice
- If a Diamondkingdom.co.uk consultant, designer, or other representative determines your proposed design to be structurally unsound, you will be notified ahead of production with suggestions for enhancing the safety and integrity of the item. Should you choose to proceed with the original design against our professional advice, please be advised that the Manufacturer’s Warranty will no longer apply to your item. While we strive to accommodate your design preferences, the final decision rests with you, and it is important to consider that proceeding with a design deemed unsound may affect the item’s performance and durability.

Inspections may help prevent the loss of a stone and extend the life of your jewelry. The customer only pays for shipping, including necessary insurance to cover the full value whilst in transit, and Diamondkingdom.co.uk pays for return shipping. Crafting lead times may be extended due to a prolonged design process. Your design consultant will help keep you on track and guide you through the process but if feedback or approval to your design is not provided when requested, there may be delays to the order completion date.
If we can’t create a design you are happy with we will refund your deposit, less £250 for the CAD design time and the ring will not go into production.
If you cancel a bespoke order once the design has been approved and production has commenced, you will be charged a restocking fee dependent on the stage of production, but no less than £300 to cover the design and manufacturing costs incurred. Your deposit, less the design and manufacturing costs will be refunded.
Ring Resizing
Most engagement rings and wedding rings are eligible for up to three free resizes after purchases. Rings can be altered up to three sizes larger or smaller; any more and the ring will need to be remade to ensure the metal remains durable. 100% diamond or gemstone set bands are not eligible for free resizing, and if you require a new size the ring will have to be remade at your cost. If you’re unsure, please ask our Customer Care team or your Design Consultant if your ring will be eligible for free resizing.
Pricing
We aim to keep any information on this website as accurate as possible, but will not be held accountable for errors, typographical error, human error or error due to technical issues. In the event pricing information is incorrect or outdated, we reserve the right to change and correct such prices. In such instances, we will not honour sales based on the incorrect pricing.
In some instances, Diamondkingdom.co.uk will include information from third parties on this website. We are not responsible for the accuracy, reliability, trustworthiness or any other factor of this information. This information may include (but is not limited to) pricing. To the fullest extent permitted by applicable law, Diamondkingdom.co.uk will not be held liable for third party content or information.
Diamondkingdom.co.uk reserves the right to change our pricing without prior notice. Changes made to pricing will have immediate effect, unless otherwise stated. This will not affect previous purchases or prices already agreed. The price of precious metals and gems are subject to frequent changes outside of our control, therefore prices may differ from quotations due to these fluctuating markets. In such an event, you will be informed by your point of contact at Diamondkingdom.co.uk.
Any price reductions will be made at the sole discretion of Diamondkingdom.co.uk and Diamondkingdom.co.uk’s sales staff. As we already offer a high value for money on our products, price reductions are unlikely. Occasionally, Diamondkingdom.co.uk may hold certain promotions or competitions, particularly for returning customers. Please look out for these on our website. A price reduction on one purchase does not set precedent for future purchases.
VAT and the Retails Export Scheme
All prices displayed on our website, displayed in-store or quoted to you include Value Added Tax (VAT). Following changes to the Retails Export Scheme at the start of 2021, customers will no longer be able to reclaim the VAT added to their jewelry upon leaving the country.
Delivery
On occasions when customers cannot pick up their order in person, a delivery service is available. We send orders via Royal Mail Special Delivery Guaranteed (Next Day Service). This service is tracked, insured and signed for, for proof of delivery. You (or someone at your designated address) will be required to sign for your delivery. It is therefore important that you are available to receive the delivery in person or should specify an alternative arrangement. Please contact us on info@diamondkingdom.co.uk to discuss delivery services in more detail. Before sending any item, a member of the Diamondkingdom.co.uk team will be in touch to confirm address and any further details.
Diamondkingdom.co.uk are able to deliver to most countries internationally using Brinks; at this time we are only able to send to a business address. Please be aware that all international postage costs, including any and all import duties, must be paid by the customer.
Deliveries are fully insured against losses, damages and theft in transit.
Although we make every attempt to deliver goods within the estimated timeframe, there is a possibility unforeseen circumstances may delay delivery. Diamondkingdom.co.uk does not warrant or guarantee the delivery date, and shall have no liability to you for any loss, damage, expenses or other claims that you may incur as a result of a delayed delivery.
Upon receiving your delivery, you become the sole owner of the item, and the item is held at your own risk. We are not liable for loss, damage or destruction once you receive it. See our Insurance advice outlined in our Lifetime Manufacturer’s Warranty.
The packaging we use for deliveries is discreet, it does not mention the terms ‘jewelry’ or ‘jewelers’ for security reasons but has to include our business name and address for insurance purposes.
Uncollected Orders
All orders, unless otherwise agreed in writing, must be paid for in full within 40 days of completion. After 40 days, Diamondkingdom.co.uk will contact you to take final payment; in instances where items remain unpaid, we will deem that the item is unwanted and it will be added to inventory, you will no longer be eligible for a refund.
Our free returns policy starts to diminish after 40 days from the completion of the order. After this expires, you will no longer be entitled to a refund.
Diamondkingdom.co.uk will endeavour to contact you once your order is ready to collect, if after 40 days the piece has not been paid for, we must assume the piece is no longer wanted and will then be added to our inventory.
Diamondkingdom.co.uk are happy to hold your item once it is paid in full for a maximum of one year from the date of completion. In order for us to hold your item/s in trust, you are advised to make an appointment to view the finished jewelry as our 40 days return policy will have expired.
